Summary:

This position has overall responsibility for the daily operations of the Print Operations department at the Northwest Regional Data Center. The Print Operations Coordinator serves as a lead worker over Print Operations support staff in providing services to our clients. Provides administrative coordination, consultation, services, and technical support in the printing, processing and shipping of data.

Essential Functions:

  • Serve as the primary point of initial contact on matters directed to the department; independently research and prioritize incoming issues and determines appropriate course of action, referral, and/or response, including those of a sensitive and/or confidential nature.
  • Provide staff and department support, to include screening and handling phone communications, interfacing with vendors, and dealing with administrative issues and inquiries as appropriate.
  • Ensure that department operations are in compliance with NWESD policies and procedures.
  • Oversee and coordinate activities of the department support staff, to include training, scheduling and prioritizing work assignments, and implementation of effective operating policies, procedures, and systems.
  • Train and provide supervision for staff below their responsibility level.
  • May participate in hiring recommendations and performance appraisal feedback.
  • Monitor, reconcile, and assist with fiscal administration for the department, including budgets, funding, contracts, purchasing, accounts receivable, accounts payable, and fiscal planning.
  • Update and generate contracts and/or agreements for NWESD execution; administer executed contracts as appropriate.
  • Develop and implement systems and processes to establish and maintain records and archives for the Print Operations department.
  • Assist in program/project planning, development, and execution of stated goals and objectives.
  • Act as an operational liaison with internal departments and external entities.
  • Provide assistance in specialty area and serve as a resource to others in resolving complex problems.
  • Implement quality improvements and assess effectiveness of changes.
  • Direct all banking activities with multiple financial institutions to ensure accurate ACH processing.
  • Manage requirements for print equipment and software.
  • Manage communications and marketing for the Print Shop.
  • Oversee preventative maintenance measures for all hardware associated with operations and the print shop.
  • Enhance professional growth and development through participation in educational programs, current literature, in-service meetings, and workshops.
  • Requisition supplies and services.

Required knowledge, skills, and abilities:

  • Ability to make administrative/procedural decisions/judgments and to answer substantive questions relating to department/program services and then to follow through with requests, as appropriate.
  • Knowledge of NWESD and department/program policies/procedures and the ability to consistently perform position responsibilities within compliance.
  • Interpersonal skills, including the ability to establish and maintain effective working relationships with co-workers, school district staff, and vendors.
  • Ability to communicate effectively, both orally and in writing.
  • Organization and coordination skills, including the ability to organize resources, establish priorities, work independently, use effective time management, process multiple tasks simultaneously while maintaining accuracy and attention to detail in an environment of frequent interruptions, and complete duties in timely manner.
  • Ability to create, compose, and edit written materials.
  • Knowledge of records maintenance requirements and the ability to comply through NWESD policy/procedures adherence and to maintain confidentiality of records and other information.
  • Ability to gather data, compile information, and prepare reports.
  • Knowledge of general accounting principles, budget oversight, and fiscal management.
  • Knowledge of supplies, equipment, and/or services ordering and inventory control.
  • Ability to analyze and resolve challenges/solve problems.
  • Ability to lead and train staff.
  • Ability to learn and master new and evolving position responsibilities.
  • Ability to effectively use technology and/or software to perform various Essential Functions.
  • Working knowledge of Windows Operating Systems, Microsoft Office Tools including Excel and Word, Microsoft Outlook, and Adobe Acrobat.

Qualifications:

High school diploma or GED; two (2) years of college level course work and three (3) years of progressively responsible print operations experience that is directly related to the duties and responsibilities specified, preferably in an educational organization. An equivalent combination of education and experience may be substituted which provides the skills, knowledge, and abilities to perform the essential functions of the position. WSP criminal history background clearance required.

WSP/FBI criminal history background clearance required. Valid Washington State driver’s license and proof of liability insurance required.

Working Conditions/Physical Requirements:

Work is performed in an office/computer room environment. Standing for extended periods of time working at a computer terminal or counter is common. Lifts and carries a maximum of 60 pounds. Adequate manual and finger dexterity, hearing, speech and vision are necessary to perform the essential functions of this position.
