Summary:

The Laserfiche Project Coordinator is a temporary role which will lead the implementation of the Laserfiche Enterprise Content Management (ECM) System, through developing workflows and business processes across the organization. This role will lead an Implementation Team, coordinate with all departments, manage timelines, and ensure a smooth rollout aligned with our strategic goals and internal communication plan.

Essential Functions:

  • Lead and manage all phases of the Laserfiche implementation project, from planning to post-launch support.
  • Develop and execute a detailed project plan, outlining milestones, responsibilities, and timelines.
  • Collaborate with NWESD departments to gather requirements and ensure alignment with business needs.
  • Coordinate with Technology Services Department, Laserfiche Implementation Team (LIT), and vendor support teams to ensure successful system configuration and integration.
  • Facilitate stakeholder meetings, conduct progress updates, and proactively communicate project status to leadership.
  • Support change management strategies, including communication rollouts, training schedules, and adoption planning.
  • Oversee data migration, user permissions, testing, and quality assurance.
  • Monitor project scope, risks, and issues, and implement mitigation strategies.
  • Ensure that documentation, policies, and training resources are developed and accessible to staff.
  • Create and maintain user accounts, including granting users the relevant roles they need to access required processes and data.
  • Implement systems/processes to ensure appropriate security, data integrity and back-ups.
  • Monitor system and user performance and recommend changes to improve efficiency.
  • Assist with enforcing functional policies and procedures related to information systems and promote a culture of cyber security awareness.

Required knowledge, skills, and abilities:

  • Ability to communicate clearly and concisely in both verbal and written format about technical subjects to non-technical users.
  • Ability to prioritize workload efficiently to meet deadlines with a high degree of independence.
  • Knowledge of best practices in project and change management.
  • Knowledge of educational service agencies or K-12 school systems.
  • Strong skills in planning, scheduling, and leading project meetings.
  • Ability to develop and maintain effective working relationships.
  • Exceptional organization and attention to detail in managing project documentation and tasks.
  • Ability to influence others to help manage resistance to change.
  • Advanced proficiency in Microsoft Excel, Word, and project management software.
  • Ability to identify risks and barriers to project success and implementing mitigation strategies.

Qualifications:

Bachelor’s Degree in a relevant field such as Project Management, Business Administration, Public Administration, or Information Technology Management. Certification in Project Management preferred. Experience managing medium to large scale software implementation project, preferably with Laserfiche or similar enterprise content management system. An equivalent combination of education and experience may be substituted which provides the skills, knowledge, and abilities to perform the essential functions of the position. WSP/FBI criminal history background clearance required. Valid Washington State driver’s license and proof of liability insurance required.

Working Conditions/Physical Requirements:

Work is performed approximately ninety percent (90%) in an office environment and approximately ten percent (10%) traveling to other NWESD work locations for meetings, trainings, etc. Lifts and carries a maximum of twenty (20) pounds.  Adequate manual and finger dexterity, hearing, speech, and vision are necessary to perform the essential functions of this position. This position is not eligible to telecommute.

Hazards:  Those present in a normal office environment; no known significant hazards.
